A membership year is what everything else hangs off. It has a start, an end, and the categories and prices that apply for it.
Make one, add your categories, and that is what a member joins or renews into.
A year starts as a draft, so you can set it up without anything being issued against it. Take it live when the prices are right.
Your own categories, in your own words
Adult, Junior, Student, Family, Social, Off-peak, Country. Whatever your club calls them, with your club's price against each.
There is no list you have to bend your club into.
You can put an age against a category, and it is a hint rather than a rule. It refuses nobody. It is there so the category reads sensibly on the joining form, not so the software can turn away a 19-year-old in a Junior year. That is a conversation for the club.
A family on one payment
Put the people in a household and name which of them pays. Their subs are then collected together on one Direct Debit rather than four.
Everybody in it still has their own membership at their own category price. The household is who pays, not what they pay.
Somebody joining part way through
Charging a full year to somebody joining in October is the thing clubs most often do by hand and most often get wrong. So the year carries the rule and works it out.
Two ways to set it:
- Monthly. They pay for the months they will actually get.
- Steps. The "join after 1 September and pay half" shape most rules pages already use.
You can also mark a category as never pro-rata, which is usually what a Social or Life membership wants.
A renewal is always the full year. Paying part of it is what somebody joining in October pays for the six months they are going to get. Being here all along is not joining.
Rolling into next year
When you make next year, your categories come forward with it. You edit the prices rather than typing the list again.
The names are what carry over. So a member on Adult this year is on Adult next year, even though every price has changed.
