Download · import · who sees what

Your club's data is yours to take, and nobody else's to see

Clayside is competition and membership software for racket sports clubs, and everything your club keeps in it downloads as spreadsheets whenever you like. Your club has a database of its own. Nobody signs in with a password. And when our support opens your club to help, downloading is refused.

Download

Getting your club's data out

Real spreadsheets that open in Excel, Numbers and Google Sheets.

A Read me tab, first, every time

What the file is, when it was taken, who took it, and how many rows are on each tab. If anything was left out, it says what and where to find it.

Contact details only when you want them

Leave contact details out of the members file, and the list for the captains has no phone numbers on it. Every download goes in your activity log, with whether contact details went with it.

The download still works if you stop paying

Every season, score and member record stays where it is. Nothing is deleted, and even a club on hold can still download.

Import

Bringing your members' data in

Paste the rows from your membership spreadsheet, headings and all, or choose the file. It is read on your own computer and the file is never stored. You check what we made of it before anything is saved.

  • Columns are matched for you. It reads your headings and suggests which is which. You confirm.
  • A medical column has nowhere to go. Health, allergy and safeguarding notes are never stored.
  • Nothing already on the register is overwritten unless you say so. A blank cell writes nothing.
  • Undo takes out the people an import added, except anyone who has played, paid or signed in since.
  • Two records for one person merge into one, and you see what moves before you press it.

Security

Who can reach your club's data, and who cannot

Nobody has a password

People sign in with a link or a six-digit code sent to their email. There is no password to forget, reuse or leak.

Your club has a database of its own

Not one shared database with a club number on every row. Another club cannot reach your members, because there is no way across.

Roles are jobs, not a master key

A treasurer sees the money, a captain picks their team, a box admin runs their boxes. Only an owner can change the club's settings or its plan. Up to 15 people can hold a job, owners included.

Our support cannot download your data

When we open your club to help, the visit lasts an hour and we are on none of your lists. Anything we change is in your activity log as Clayside Support. Downloads are refused.

Your members' names are kept out of search engines

Boxes, ladders, draws, courts and your register are never listed, whatever else is on your address. If you publish a club website with us, that is the part search engines see: the pages you wrote, and nothing your members put in.

Your database is kept in the EU

The rule is set when your database is made, and nobody can loosen it afterwards. Email is the exception: sign-in codes and invites travel through our email provider. If there is ever a breach, we tell you within 24 hours.

Questions

What clubs ask about their data

Can we leave and take all of our data with us?

Yes. The owner can download everything the club holds on any day, in one file.

Then the owner emails us to close the club, and it is deleted within 30 days of that email. Once it is deleted there is no copy anywhere, so take the download first. The privacy policy has the detail.

Who at Clayside can see our members?

Clayside Support, when we open your club to help. Each visit lasts an hour, and anything we change is in your activity log under Clayside Support.

Support cannot download anything, and cannot touch your plan or your club's bank connection.

Is our juniors' data safe?

A member under 18 never holds a sign-in email address of their own. An address typed beside a child's date of birth is recorded as their parent's.

Safeguarding has the whole of it.

Are we the data controller?

Yes. Your club is the controller for its members' data and Clayside is the processor. The processor terms are written for a committee to read.

Your data

Bring your members in, and take your data out whenever you like

Every new club gets fourteen days with everything switched on, and no card. The download is there from the first day.

Sign in to your club

Your club has its own address. Open it and sign in there with your email. There's no password.

Forgotten your club's address?

If you set the club up, tell us and we'll look it up.

Play in a box? Tap the link in your group chat, or ask whoever runs your league. Still can't get in?
