Tennis club membership

Tennis club membership software for the renewal round

Clayside is tennis club membership software: your categories and your year, families on one price, members joining and renewing from a link, and the subs by Direct Debit into the club’s own account.

How it works

A tennis club’s membership year, from the join link to the last cheque

Set up the year

Your dates, April to March or whenever yours runs, and your categories with a price each. Someone joining in the summer can pay for the months left, by the month or by your own steps.

Members join and renew from a link

The join link goes on your website and the clubhouse noticeboard. Renewing is a personal link for each household. Either way the Direct Debit is set up on the spot, and nothing is taken until the treasurer says yes.

Collect, and record the rest

Press Collect and the subs go to the club’s own account. Cash, cheques and transfers are ticked off beside them, so one list says who has paid.

Renewals

The tennis club renewal round, in four steps

The Money screen lays the round out as ticks. Nothing sends itself and nothing runs on a timer, so the secretary decides when each step happens.

Open next year

Last year’s categories come forward. Change the prices, open the year, and it runs beside this one until this one closes.

Send the renewal links

Before anything goes, the register counts who has no email address, who has not been seen all year and whose Direct Debit has ended.

Members answer

Renew the household, ask to change category, say they are not coming back, or say they have paid by transfer. Each answer lands on your list.

Collect and chase

One press takes the subs from everyone who renewed. What is left is a short list of names, not a bank statement to read line by line.

The LTA, and what is not built yet

What tennis club membership here does and does not cover

The LTA

Your venue registration stays as it is

Registering the venue is the club’s own business with the LTA, and members still sign up to LTA Advantage themselves, naming your club. Nothing on your register is sent to the LTA.

Not yet

Monthly subs, joining fees, gate codes

Subs are annual today. Monthly instalments, a joining fee, floodlight fees and sending a padlock code to paid-up members are not built yet. Tell us which your club needs and we will build it.

Questions

What tennis clubs ask about membership

We use ClubSpark for membership now. How hard is it to move?

Not hard. Export your members to a spreadsheet, import it here, set your categories and open the year. Just before renewals is a good time, so the first round goes out from the new system. We help you through it.

Can members pay monthly?

Not yet. Subs are collected once a year by Direct Debit, or recorded as cash, cheque or a transfer. If your club needs monthly instalments, tell us and we will build it.

Who on the committee can see members’ details?

You decide who holds each job. The secretary and treasurer can see contact details; a committee member can read the register and the money without them. No member ever sees another member’s phone or email.

Do juniors need their own email address?

No, and they never get a sign-in of their own. Everything for a junior goes to their parent or guardian.

Which plans include membership?

Every club plan, priced on how many members you have. Competition plans keep a register but do not collect subs. The plans.
